The KYNY Group is seeking a highly motivated and organized individual to join our team as an Administrative Support Specialist. Position Summary:
Reporting to the Operations Manager, the Administrative Support Specialist will be responsible for providing administrative and clerical support to the entire team. This includes handling incoming calls, managing schedules, arranging meetings, maintaining office supplies, and assisting with various administrative tasks as needed. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to prioritize and multitask in a fast-paced environment.
Key Responsibilities:
- Answer and direct incoming calls to the appropriate personnel
- Organize and maintain company calendars, including scheduling appointments and meetings
- Assist with coordination and preparation of meetings, including taking meeting minutes and distributing them among team members
- Manage office supplies and inventory, restocking as needed
- Sort and distribute incoming and outgoing mail
- Prepare and process documents, reports, and correspondence as needed
- Assist with data entry, filing, and record keeping
- Monitor and order office equipment maintenance and repairs
- Coordinate travel arrangements for team members, including booking flights, hotels, and transportation
- Maintain general office tidiness and organization
- Other administrative duties as assigned by the Operations Manager
Qualifications:
- High School Diploma or equivalent
- 2 years of experience in an administrative support role
- Excellent organizational and time management skills
- Strong communication skills, both written and verbal
- Proficient in Microsoft Office Suite
- Ability to work independently and in a team environment
- Exceptional attention to detail and accuracy
- Previous experience in is a plus
