Office Manager - Syracuse, NY

Job Description

Overhead Door Company of Greater Syracuse, a division of the Overhead Door Company of Cortland, Inc., is seeking to hire an Office Manager. The position is comprised of bookkeeping, administrative support, and customer service.

Bookkeeping Duties and Responsibilities
• Price out work orders and enter invoices (bills to our customers) into QuickBooks.
• Process payments, deposits, and post into QuickBooks.
• Travel to bank to make deposits.
• Prepare tax cards in preparation for sales tax returns.
• Process time cards and send to senior bookkeeper for payroll entry.
• Track inventory as directed by management.
• Prepare AIA Requisition Forms as needed when directed by management.

Office Administration Responsibilities:
• Order all required office supplies and cleaning supplies.
• Travel to post office to deliver outgoing mail and pick up mail from post office box.
• Maintain perpetual inventory of copier supplies and request service or maintenance when needed.
• Request and supply certificates of insurance as directed by management.

Customer Service Responsibilities:
• Answer phone and create service orders and estimate requests.
• Answer phone and quote prices on services and products.
• Assist walk-in customers with replacement parts, accessories, and new doors/openers.
• Assist with scheduling service calls and installations.

Qualifications:
• QuickBooks experience.
• Proficient use of Microsoft Office products.
• Effective communications skills (orally and in writing).
• Strong organizational skills.
• Ability to work effectively in a face-paced environment with changing priorities, while maintaining professionalism and strong rapport with team members.
• New York State Notary Public license preferred.
