Understands, promotes, and follows the Mission and Guiding Values of Petersburg Medical Center. Assures quality care through referral coordination, appointments, support and patient services.
o Coordinates and processes specialists and internal referrals to completion with precision, detail, and accuracy.
o Initiates, tracks, and updates the status of all referrals promptly.
o Ensure specialist offices receives necessary referral documentation to begin patient care.
o Confirm referrals received by specialists and inquires processing time for referral.
o Communicates with involved team members, specialists, and insurance companies regarding the referral process to ensure proper coordination of care.
o Assists PMC patients as needed with coordinating appointments with specialists, and appointments requiring special medical procedures.
o Arranges patient transport as needed and completes required travel paperwork.
o Answer phone calls from patients, specialist offices, insurance companies, and others.
o Updates and relays information to patients or providers about referral activity.
o Respond to in-house provider questions, requests, and concerns regarding the status of patient referrals, care coordination, or follow-up status.
o Calls the patient to advise their referral is complete and provides relevant referral information to the patient.
o Maintains an accurate record of external and internal patient referrals, updates current status in the Referral Tracking System or EMR monitors Referral Tracking System or EMR for outstanding referrals and follow-up with the appropriate provider.
o Maintains database of specialists’ contact information.
o Submits insurance prior-authorization as needed if required from the PMC referring provider.
o Prepares and submits monthly reports of activities as requested.
o Must understand and follow PMC policies and HIPAA guidelines.
o Provide cross-coverage for front office reception call off, request off, and lunch breaks.
o Assists in handling clerical duties in the clinic and other duties as assigned.
Education: Two years of office clerical experience; or an approved combination of education and healthcare experience. Computer experience helpful, especially electronic medical records, MS Excel, MS Word, MS Outlook. Type minimum of 40 wpm preferred.
o Establish and maintain rapport with patients and staff.
o Ability to deal with issues, such as patient complaints in a tactful and confidential manner.
o Maintain a professional appearance, conduct, and appropriate attire.
o Take the initiative in solving problems; use respectful and sound judgment when approaching problems.
o Able to deal with high demand, fast-paced, multi-departmental hospital needs. Must be highly organized and task oriented.
Petersburg Medical Center is a 27-bed hospital, 15 long term care and 12 acute care beds with an Outpatient Clinic, ER, Rehab, Home Health, Lab and Imaging departments.
