Position: Part-Time, Permanent Salary: $10.00 per hour Hours: 20 hours per week
Job Purpose The Program Assistant performs administrative support functions for the Parks and Recreation (P&R) Department, and assists in administering athletics programs and specials events. Work involves customer service, office and clerical duties, general cleaning and maintenance duties, supervising the use of facilities, and managing organized athletic leagues, clinics, camps, and special events.
Duties and Responsibilities These duties and responsibilities are not intended to be all-inclusive. Employee may perform other related duties as negotiated to meet the ongoing needs of the Town. • Works a non-traditional work schedule, primarily working nights and weekends with limited supervision. • Serves as receptionist at the Community Center, collects fees for membership, rentals, classes, camps, clinics, athletic leagues, and special events, and maintains records of payment in the appropriate files and software. • Performs activities at athletic and special events including but not limited to planning, set-up, directing, assisting, score keeping, clean-up, maintenance, concessions, and supervising volunteers, game officials, participants, and spectators. • Performs basic administrative tasks such as utilizing a computer to complete projects, typing, copying and faxing materials as assigned, and responding to inquiries in person, over the phone or via email. • Prepares and oversees use of athletic fields, gymnasiums and other P&R facilities. • Monitors the use and return of athletic equipment, reporting damages and losses to the Athletics Supervisor. • Greets participants and enforces facility regulations and policies. • Ensures an environment of safety for all participants, spectators and game officials. Treats minor first-aid incidents, fills out accident reports, and provides a copy to the Community Center Supervisor. • Assists with the organization of playoffs and tournaments for various athletic leagues. • Performs any assigned tasks associated with Town sponsored athletic programs or special events. • Serves as liaison to expedite flow of information and to interpret policies, procedures, rules, and regulations to patrons, participants and the general public. • Notifies members of class schedule changes and cancellations. • Provides local area information to visitors. • Counts and maintains cash box. • Answers and directs phone calls. • Forwards messages and requests to appropriate staff members. • Maintains a clean work environment at all times. • Performs other duties of a similar nature or level.
Financial and Budgeting Responsibility • Processes customer payments by entering payment information into the appropriate programs. • Counts and maintains cash box. • Prints reports and stores monies collected in approved places.
Education and Experience High School Diploma or General Equivalency Diploma (GED), a background in or understanding of youth and/or adult team athletics, and experience in customer service; or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above is required.
Licenses and Professional Certifications • Valid Driver License
Knowledge, Skills, and Abilities Knowledge of filing techniques; general office operations; customer service techniques; phone answering techniques; basic accounting concepts; recreational athletics and leagues; standard safety practices; procedures and equipment related to recreational athletics and leagues; and rules governing common athletics and leagues.
Skilled in planning, organizing, leading and monitoring the activities of others; understanding and carrying out oral and written instructions; analyzing and interpreting policy and procedural guidelines; resolving problems and questions; establishing and maintaining effective working relationships with staff, associates and the general public; organizing work flow and coordinating activities; operating office equipment; typing; using a computer and related software applications; answering multiple phone lines; maintaining files; keeping logs; making copies; preparing reports and composing correspondence; and communication, interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc. sufficient to exchange or convey information and to receive work direction.
Ability to represent the Town in a professional and respectful manner while interacting with a diverse set of individuals within the workplace and the community.
Working Conditions Employee is subject to both inside and outside environmental conditions. When indoors, employee will be exposed to the lighting, temperature, and noise of an open floor-plan gymnasium environment and that of an office setting. When outdoors, employee may be frequently exposed to insects, dirt, grass, and weather elements including rain, wind, varying temperatures, etc.
Physical Requirements Employee must be able to set up and break down equipment, record score sheets, and operate timing devices. A portion of work is performed within an office environment, primarily behind a desk, and frequently includes the operation of a computer. The employee must read and write, and interact with others in person, over the phone, and via other devices. The employee may move about within the facility to access file cabinets, documents, office machinery, and other equipment. Travel is often required to outside sites in order to perform the duties described above, as well as to attend meetings, trainings, events, and other business activities. Persons in this position frequently lift, carry, push and/or pull objects weighing up to 25 lbs. They also occasionally move objects weighing up to 50 lbs., and sometimes, but rarely, up to 100 lbs. Additionally, work may require standing, walking, running, reaching, bending, twisting, stooping, crouching, kneeling, crawling, lifting, carrying and/or moving equipment, or pushing and pulling various objects.
